Pay Range

$72210 - $89652Annually for the A01.1 level

Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting starting pay including education experience the external labor market and internal equity.

Job Description

We have an opening for a Onboarding and Scholar Administratorto work in a dynamic and fast-paced environment. You will be a member of the Computational Engineering Division office administrative team in support of strategic business operations and activities. In addition to being well-organized and methodical your strong organizational and communications skills will be needed to interact with a variety of people and a multidisciplinary team. This position is in the Computational Engineering Division (CED) within the Engineering Directorate.

In this roleyou will

  • Administer successful onboarding processes of new hires in partnership and collaboration with CED management and hiring managers to ensure a positive first experience for new CED employees in the Laboratory.
  • Manage and execute hiring onboarding and off-boarding processes for CED Scholar Faculty and Academic Cooperation Program hires including building hire packages initiating Personnel Administrative System actions verifying security clearances and acting as a resource to division personnel as an integral part of the CED Hiring Team. Serve as a backup to the Office Manager for full time CED hiring activities.
  • Establish and maintain tracking spreadsheets as well as electronic record-keeping systems as required for the administrative and operational hiring activities; collect data to maintain hiring metrics and recommend hiring process improvements.
  • Create and implement scholar and new hire programs to facilitate and encourage assimilation and acclimation to the Laboratory.
  • Initiateand coordinate the day-to-day hiring activities and process flow to include extensive interactions with the Engineering Directorate Office Staff HR Employment Team and other institutional divisions. Provide continuous follow-up with management to confirm hiring and onboarding plans while ensuring candidates needs are being met.
  • Assess business operational and/or organizational requirements and deliverables and apply general knowledge of policies procedures methods and practices propose improvements of onboarding and hiring practices for the division and implement approved actions.
  • Assess interpret identify solutions and ensure resolution of tasks and inquiries using knowledge of the area supported; determine and execute appropriate administrative processes. Assist in the development of and capture new and improved business and administrative practices for the division.
  • Serve as a resource through sharing skills and knowledge with others; may provide training and mentoring to others as needed.
  • Perform other duties as assigned.

Qualifications

  • This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at the time of hire.
  • Experience coordinating administrative and operational work activities and multi-faceted internal processes for the work unit and/or functional area.
  • Experience working on organizational projects with the ability to understand customer needs and interpret and apply relevant policies and procedures.
  • Understanding of basic principles of personnel administration policies and procedures and of human resources compliance requirements.
  • Effective analytical problem solving and decision-making skills necessary to resolve recommend and approve appropriate actions to implement solutions.
  • Experience coordinating and prioritizing high volume requests and multi-faceted internal processes under short changing deadlines with numerous and frequent interruptions.
  • Experience problem-solving and effective decision-making skills to anticipate identify and independently recommend appropriate actions and solutions to complex administrative problems.
  • Demonstrated ability to work independently with the aptitude to assume responsibility and make decisions with minimal guidance within a multidisciplinary team.
  • Effective interpersonal skills with the ability to handle sensitive and confidential issues with tact discretion and mature judgment; ability to effectively deal with difficult situations and personnel.
  • Strong written and verbal communication skills; advanced organizational skills attention to detail accuracy and follow through.
  • Basic knowledge of computers and associated software including MS Office applications; experience creating and maintaining Excel spreadsheets.

Qualifications We Desire

  • Experience with Smart Recruiters CAT LAPIS EAM and other LLNL administrative software and platforms.
